Monthly bookkeeping checklist for small businesses

Closing your books every month takes a few hours once the habit is set, and it saves days at tax time.

Small business owners in Pakistan and the USA tell us the same thing: the books are fine until the tax deadline, then everything needs fixing at once. A short monthly routine prevents that.

The monthly checklist

  1. Record every sale and every expense, with a receipt or invoice for each.
  2. Reconcile each bank, card and wallet account to its statement.
  3. Follow up on unpaid customer invoices and record what you owe suppliers.
  4. Run payroll and keep the slips, deductions and filings together.
  5. Set aside tax and sales tax collected so it is not spent as profit.
  6. Review a simple profit and loss report and one cash balance.
  7. Back up your records and file the month's documents.

Why monthly beats yearly. Errors found within weeks are easy to trace. Errors found after a year usually mean lost receipts and guesswork, which is where tax mistakes and penalties begin.

What to keep for every transaction. The date, the amount, who paid or was paid, the reason, and the document. If you can answer those five questions, your accountant can finish quickly.

If you would rather not do this yourself, ALMATEEN records and reconciles your transactions every month and sends a plain-language report on your profit, cash and obligations. Email info@almateen.pk and tell us about your business.
